About the Opportunity
We are seeking a Patient Care Coordinator to serve as the primary point of contact for our patients and a key driver of the patient journey from first inquiry through surgery.
You will be on-site, fully immersed in the day-to-day of the practice, guiding patients through consultations, education, and booking — while also supporting operational excellence behind the scenes through pipeline management, follow-ups, and scheduling optimization.
In this role, you will act as a bridge between patients, surgeons, and internal teams—delivering the Amelia experience with both warmth and precision, while helping drive conversion, efficiency, and overall practice growth.
What You’ll Do:
- Serve as the primary point of contact for patients from initial inquiry through surgery, ensuring a seamless and elevated experience
- Guide patients through the consultation and booking process, including education on procedures, pricing, and financing options
- Manage patient pipelines and follow-ups to optimize consult-to-surgery conversion
- Coordinate surgical scheduling, ensuring accuracy, efficiency, and alignment with provider availability
- Build strong relationships with patients, establishing trust and delivering a high-touch, personalized experience
- Conduct onboarding calls to capture, educate, and prepare patients for their surgical journey
- Collaborate closely with surgeons and clinical teams to align on patient needs and expectations
- Maintain accurate and detailed documentation within Nextech and CRM systems
- Proactively identify opportunities to improve patient experience, scheduling flow, and conversion performance
- Assist with pre-operative preparation and ensure patients are fully informed and ready for surgery
- Participate in team meetings, reporting, and ongoing training to continuously improve performance
- Support and participate in patient events, practice activations, and community initiatives to enhance the Amelia experience and patient engagement
What You Bring:
Required Qualifications
- Proven experience in a patient-facing, sales, or coordination role (aesthetics, healthcare, or luxury service preferred)
- Strong ability to build trust and connect with patients while confidently guiding them toward decisions
- Excellent communication skills—both verbal and written—with a polished, professional presence
- Highly organized with strong attention to detail and the ability to manage multiple patients and priorities at once
- Results-driven mindset with a focus on conversion, follow-up, and achieving goals
- Comfort discussing pricing, financing options, and handling sensitive patient conversations with care and confidence
- Ability to work collaboratively with surgeons, clinical teams, and leadership
- Proficiency in learning and utilizing systems such as Nextech, CRM platforms, and scheduling tools
- Strong problem-solving skills with the ability to think ahead and anticipate patient needs
- A positive, team-first attitude with a willingness to step in and support where needed
- High level of discretion and professionalism when handling confidential patient information
- Passion for aesthetics and delivering an exceptional, elevated patient experience
Preferred Qualifications
- Bachelor's degree or equivalent
- Experience in sales
- Experience in aesthetics, wellness, healthcare, or luxury lifestyle verticals
- Familiarity with HIPAA-compliant content workflows, and social media consent practices in a medical setting
